Terms & Conditions of Booking

Before requesting to book your stay with us, please take a few moments to read our booking terms and conditions.

If you would like further information or clarification on any of the points below please do not hesitate to contact us via the enquiry form.

Zoe and Gareth Williams are the owners of the property. The hiring contract is between the Hirer and the Owners of the property for which the booking is made and incorporates the conditions set out below:

-Bookings cannot be accepted from persons under the age of 18.
-We will hold a provisional booking for 2 days, allowing you time to complete the booking form and send a deposit.
-A non-refundable deposit of 20% is required to secure the booking, with remaining balance due as per the date on the booking form. (Usually 6 weeks before the commencement of the holiday. The full amount is payable if the holiday date is less than 6 weeks from  booking.)
-Non payment of the balance of the rent on or before the due date shall be construed as a cancellation of the contract by the Hirer.
-Guests are requested to arrive after 4pm and depart at 9.30am unless by prior arrangement. Please telephone Zoe Williams (07790 148237) the day prior to arrival to arrange door keys etc.

Old Forge Cottage is strictly non smoking.

-Dogs are welcome by prior arrangement with an additional charge of £15 per dog (max 2 dogs) and must be kept under control & not be left alone in the property at any time. Strictly no dogs upstairs or on the furniture. Please clear any dog foul & deposit in the bin thank you.

-Guests are responsible for taking all reasonable care of the property and its contents and for leaving these in a clean and tidy condition in which they found it on departure.

-Guests will be responsible for any breakages, damage or exceptional cleaning, and either make good or replace such item where
practicable. These should be reported to ourselves prior to departure. A security deposit of £100 (to cover such costs) is payable with final balance and this will be refunded a week after departure, assuming there are no issues.

-It is the Hirer’s obligation to permit the owners reasonable access to the property to carry out any urgent maintenance, not to sub let or share the property except with group members noted when booking. The maximum number of persons allowed at the property is clearly stated and must not be exceeded. (Owners reserve the right to terminate the hire without notice and without refund in case of
a breach of this condition)

Cancellation (we strongly recommend you obtain appropriate holiday insurance which includes Cancellation and Curtailment Protection insurance, however if you choose not to take out travel insurance then you accept responsibility for any loss that you may incur due to your cancellation

Cancellations will be treated based on the reason for the cancellation and the length of time between cancellation and your holiday. 

  1. National Lockdown or Covid Exposure

If your booking has to be cancelled because the property is put under Government Restrictions or has been exposed to Covid and has to close and the period of closure covers your booking, you will be refunded in full. 

  1. Local Lockdown 

In the event that Herefordshire/the local area or the address given on the booking form is put into Local/Regional Lockdown rendering you unable to travel, and the period of restriction covers the period of your booking, the option would be to move the stay or if a mutually agreeable date cannot be found, a full refund would be given.

  1. We don’t expect to have to make changes to your booking, however sometimes problems happen and bookings have to be changed or cancelled.

If possible, we will do our best to offer you a suitable alternative booking. If we’re not able to offer you a suitable alternative, or if you don’t accept the alternative we offer, the booking will be deemed cancelled and we will return to the you any monies paid, where upon our liability will cease and the guest shall have no further claim. 

Cancellation by you and/or any of your intended occupants which includes – but is not limited to – inability or disinclination to travel and/or stay due to illness (including Covid), a requirement or recommendation to self-isolate or quarantine, Covid Vaccination appointments, a call to jury service, incarceration, change in personal or work circumstances, family emergencies, travel delays, vehicle breakdown, and delays with public transport. These remain at your risk and do not give rise to a right to cancel or to receive a refund.

 With the exceptions of cancellations made under points 1, 2 and 3 above, refunds will be subject to a non-refundable administration fee of £20 to cover our costs and third-party costs related to the cancellations such as admin costs, re-marketing costs, bank fees,  accounting fees or commission payments.

 A cancellation charge will be made dependent upon the number of days’ notice given prior to your date of arrival which are as follows;

If you let us know more than 6 weeks before arrival that you wish to cancel your booking, you will simply forfeit the non-refundable deposit.  With 4-6 weeks notice of cancellation will incur the loss of 50% of the total cost.  If you cancel within 4 weeks of arrival you will be liable for the full balance of the hire charge.  We will always endeavour to re-let at short notice for a reduced rate and reimburse you the rate obtained. 

-In the unlikely situation, of any unforeseen reason, the property is unavailable (i.e. in case of fire, flooding) and a confirmed 
-We provide all information and all statements are made in good faith and check, so far as is reasonable. We shall not be liable for any loss or damage resulting from information given, or statements made whether orally, or in writing.

-Parents must take full responsibility for the well being and supervision of their children during their stay. It is the parent’s responsibility to inspect the property an garden immediately and note any possible hazards.
-Check the layout of the holiday property so that in an emergency you can get out quickly and easily.
-We ask that our guests behave with regard for others. Any anti- social behaviour will not be tolerated and the owners can request that guests leave should this be the case. The Hirer will remain liable for the whole cost of hire and no refund will be due.
-All bed linen is provided; pillows, duvets, covers, sheets and 2 towels/person (bath towel and hand towel).
-Tea towels and oven gloves are provided.
-Cot linen is not provided.
-Electricity and central heating are included in the price quoted.
-You agree that as the property is used for short-term hire as holiday accommodation, it is exempt from security of tenure under the Rent Acts.

The Owner shall not be liable to the Hirer or third parties for any death, personal injury, accident, cancellation, damage or loss of your personal property, expense or inconvenience, which may be suffered, incurred, arise out of or in any way connected with the rental. No term of the Contract is enforceable under the Contracts (Rights of The Third Parties) Act 1999 by a person who is not a party to the Contract.
